Data Export and Account Deletion

Self-service from the Profile panel

The fastest way to export or delete your data is from the Profile panel inside BrainLoot. Open the panel, choose the relevant action, and confirm. Both actions verify that you are signed in to the account.

  • Export my data — bundles your profile, memberships, personal workspace, and owned guild metadata into a downloadable JSON file.
  • Delete my account — permanently removes your account-scoped records. Shared records (for example, cards or comments in a guild owned by another user) remain in that guild.

Before you delete a guild-owning account

If you own one or more guilds, transfer ownership or delete those guilds first so shared workspaces are not unexpectedly removed for your collaborators. Account deletion will notautomatically dissolve a guild whose ownership you haven’t resolved.

What happens after deletion

  • Immediately: sign-in is disabled, account-scoped database records are removed.
  • Within 24 hours: avatar and profile assets in cloud storage are deleted.
  • Within 30 days: standard cloud backups containing the records are overwritten in the normal backup cycle.
  • Retained: records we are legally required to keep — billing/invoice records (6 years for UK accounting/tax), audit/security logs (up to 24 months), and correspondence required to defend a legal claim. Stripe maintains its own retention schedule for payment records.

Data Subject Access Requests (DSARs)

If you cannot use the in-product self-service flow (for example, you have lost access to your sign-in email), you can submit a Data Subject Access Request, rectification request, or erasure request to privacy@brainloot.app. To protect you and other users, we may need to verify your identity before we act — typically by confirming information that only the account holder would know. We respond within one calendar month and may extend by two further months for complex or high-volume requests, with notice to you.
